Robot has a state of the art Traffic and billing system which makes the process of selling advertising for your station simple.
How to use the Advertising system:
Step 1: Using your usual sales procedure you sell advertising time to your clients. You can offer them three types of exposure:
1) General Rotation: Advertising is played at random throughout every day part and day of the month along with the other general rotation adverts. For general rotation you have a default group and twenty sub groups. When planning your format you can indicate which groups of general rotation adverts play when. You might for example like to use the default for during the day and group 1 for late at night - or you might like to simply use the default group and let general adverts play at anytime. In this way you can also offer general exposure across specific times.
2) To the Hour: Advertising is played within a set day part on a specific days). You can offer advertising (or "Spots") within any number of day parts and days. Within means during the specific hour, the advert will be played at some point.
3) To the Minute: Advertising spots are played at a precise time to the minute (e.g. 9 am Monday morning)
It is a good idea to work out a pricing system for your station for various parts of the day and week, for example spots in the morning show (usually 5 am - 9 am) might be charged at a higher rate than spots playing during late night.
Step 2: Once you have the advertising spots sold you need to prepare the audio. This can be supplied by the client in some cases or you can prepare it for them. To do this use your usual waveform editing program (or audacity as discussed in earlier chapters). You need the audio saved in either a WAV or MP3 file on your hard drive.
Step 3: Preparing for general rotation adverts. If you advertising will be scheduled to the hour, or to the minute then skip this step.
If the spots are going to be placed in general rotation you need to import them using the library screen into the "ADVERT - GENERAL ROTATION" Robot folder, into whichever group you wish to place them in. Because you have 20 groups and the default group for general rotation adverts, you can plan in the format which general rotation groups play when as discussed above. To add a spot into general rotation it must reside in the correct robot folder.
Step 4: To begin select the "Advertising" tab from the top of the screen.
Client Details The first time you use the advertising screen you will notice that there is some example data in the clients drop down menu. You can delete this later. Type in the clients name in the "Client Name" field.
